Think of systems as your podcast’s operating manual. Once built, you just follow the steps. And building systems at the beginning of your podcast journey is the wisest thing to do, especially when you’re tying your podcast to your online business. 

Recording & Remote Interview Systems

If you’re interviewing guests remotely, your recording system matters — a lot. Poor audio quality quickly turns listeners away.

A strong recording system ensures high-quality sound even if internet connections are unstable.

Best Remote Recording Platforms

Riverside.fm / SquadCast
These are called double-ender recording platforms. Each person’s audio is recorded locally on their computer and then uploaded. Even if the internet glitches, your audio stays clean and studio-quality. This is ideal for interview podcasts.

I personally use Riverside to record my solo episodes for my podcast about podcasting because I like editing the episode right on Riverside. 

Zoom
The “old reliable” tools. It works and is beginner-friendly, but the audio is compressed. Good for starting out, but not ideal for long-term quality standards.

I still use Zoom for my guests’ recordings because everyone knows it, and I don’t have to educate them. A lot of times, it’s the first time my guests are on a podcast. 

Descript
Descript lets you record directly inside the app and transcribes your audio in real time. The standout feature: you can edit your podcast by editing text. Deleting a sentence in the transcript removes it from the audio.

System tip: Choose one recording platform and stick with it. Don’t switch every month — consistency saves time and reduces technical issues.

Podcast Hosting & Distribution Systems

Many new podcasters don’t realize this:
You don’t upload your podcast directly to Spotify or Apple Podcasts.

You upload to a podcast host, and that host distributes your show everywhere through your RSS feed.

Reliable Podcast Hosting Platforms

Spotify for Podcasters (formerly Anchor)
Free, simple, and beginner-friendly. Includes basic monetization tools. A great starting point for new podcasters.

Buzzsprout
Known for its clean interface and built-in audio leveling features. Very user-friendly and great for podcasters who want simplicity plus polish.

Libsyn
One of the oldest and most reliable hosting companies. Not flashy, but extremely dependable — especially for high-traffic podcasts.

This one is the OG, which is why a lot of people trust it.

Post-Production & Editing Systems

Editing is where your episode becomes polished and listener-friendly. A good editing system doesn’t mean over-editing — it means having a repeatable cleanup process.

Audacity
Free and powerful. Perfect for beginners and budget-conscious podcasters. Think of it as the dependable starter tool that gets the job done.

Although I haven’t used it, I’ve heard good things about Audacity. 

Adobe Audition
Professional-grade editing software with advanced noise reduction and restoration features. Ideal if you record in less-than-perfect environments.

Auphonic
An automated post-production tool. Upload your finished file, and it balances volume levels and reduces background noise using AI. Excellent for saving time.

Guest Management & Scheduling Systems

Scheduling guests manually through email threads is one of the fastest ways to waste time and create confusion.

Use scheduling systems to eliminate back-and-forth messages.

This was the first system I set up because the back-and-forth via email is so tedious.

Calendly / TidyCal
Send one link. Guests pick a time that fits your calendar. Automatic confirmations and reminders are sent. You can also auto-include your recording link.

I use Calendly, and I love how it sends reminders to my guests and syncs to my Google calendar. 

PodMatch
A guest-matching platform for podcasters. It connects hosts and guests based on niche and expertise — like a matchmaking system for interviews.

System tip: Create a guest workflow: invite ? booking link ? confirmation email ? prep questions ? recording ? thank-you message.

Marketing & Repurposing Systems

Trello
Use it to plan your monthly content and marketing tasks. Create boards for episodes, promotions, and collaborations.

Trello is what I use to keep myself organized with all my content creation. I have a board for my podcast, and for each episode, I create a card with a checklist so I don’t miss a step in the podcast cycle. 

Google Spreadsheets
Track episode titles, publish dates, guests, links, and repurposed content.
